Employee Self-Service Guide
As an employee, BonardaHR empowers you to manage your personal records, log working hours, request time off, and access company resources without needing to send manual emails or paper forms.
1. Managing Your Profile​
Your profile is your digital identity in the company. Keeping it up to date ensures payroll, emergency communications, and benefits operate smoothly.
Viewing & Editing Personal Details​
- Click your profile avatar in the top-right corner and select My Profile (or go to People → select your name).
- The profile is organized into clear tabs:
- Personal & Contact: Legal name, preferred name, personal email, phone number, and residential address.
- Emergency Contacts: Primary and secondary emergency contacts with relationship and phone numbers.
- Work: Job title, department, direct reporting manager, site/office location, and hire date.
- Documents: Your signed contracts, certificates, and ID uploads.
- To update personal info, click the Edit button on any editable section card, update the fields, and click Save.
Sensitive Field Changes
Some updates (such as legal name, tax identifiers, or banking details) may require HR verification before changes take effect.
2. Time & Attendance​
BonardaHR makes tracking your daily work hours quick and accurate.
Clocking In & Out​
- On your Sidebar, click on Attendance.
- When starting your workday, click Clock In. The live timer will start counting your active hours.
- At the end of your workday, click Clock Out.
Submitting Timesheets​
- Go to Attendance → Timesheets from the left navigation menu.
- Select the current week or pay period.
- Review your logged daily hours and break durations. You can add notes or project tags if required by your team.
- Click Submit Timesheet for Approval. Your direct manager will receive a notification to review and approve your hours.
3. Time Off & Leave Requests​
Checking Balances​
- Click Time in the sidebar.
- Your balance cards will display:
- Annual Leave / Vacation: Total allocated, used, pending, and remaining days.
- Sick Leave: Available sick leave quota.
- Special Leave: Bereavement, parental and maternity leave.
Submitting a Leave Request​
- Click the Request Time Off button.
- Select the Leave Policy Type (e.g., Annual Vacation).
- Choose the Start Date and End Date (or toggle Half Day if you only need morning/afternoon off).
- The system will automatically calculate working days, excluding weekends and official company holidays.
- (Optional) Add a reason or message for your manager, and attach supporting documentation (e.g., a medical certificate) if applicable.
- Click Submit Request. You will receive an email and in-app notification once your manager approves or replies.
Viewing the Team Calendar​
Before booking dates, check the Time(Sidebar) → Team Time tab to see who else in your department is already scheduled to be away, avoiding scheduling conflicts.
4. Documents & E-Signatures​
Accessing Company Documents​
- Go to Docs → Company Docs.
- Browse official folders such as Employee Handbooks, Benefit Overviews, IT Security Guidelines, and Holiday Schedules.
- Click any document to view in the built-in PDF viewer or download a copy.
Signing Documents Electronically (E-Sign)​
When HR sends you a document requiring your signature:
- You will receive an alert in your Notification Center and an email.
- Go to Docs → My Requests.
- Click Review & Sign on the pending request.
- Read through the document pages.
- Click on the designated signature field:
- Draw: Draw your signature with your mouse, trackpad, or touchscreen.
- Type: Type your name and select a stylized font.
- Upload: Upload a pre-saved image of your signature.
- Click Complete & Submit. Both you and HR will receive an archival PDF copy with audit timestamp.
5. Tasks​
Task Management​
- Navigate to Tasks to see onboarding tasks, project milestones, or compliance checklist items assigned to you.
- Drag tasks between To Do, In Progress, and Completed.
